AI for accounting firms
that chases documents, reconciles and flags what’s missing.
Spidev builds and operates AI agents for accounting firms, payroll and tax advisory firms and in-house accounting teams across Mexico. They ask each client for bank statements, invoices and receipts on WhatsApp or email, file them by client and period, match bank movements against CFDI e-invoices and leave your accountant work that’s ready to review.
In an accounting firm, AI takes over the part of the month that goes into chasing paperwork. An AI agent asks each client for their bank statements, CFDI e-invoices and receipts on WhatsApp or email, sends reminders, files every document in the client’s folder for the period, matches bank movements against invoices and lists what’s missing. The accountant gets organized work to review; tax returns, tax judgment and signatures stay with them.

How Spidev helps your accounting firm: 8 examples
These are agents we can build and operate for your team. Each one works inside your tools and hands a person whatever needs judgment.
01
Requests the month’s documents and reminds whoever is behind
At the start of the month, the agent messages each client on WhatsApp or email with their list: bank statements, expense invoices, payment receipts. Clients who haven’t sent anything get follow-ups through approved WhatsApp templates — respecting anyone who opted out — and your team sees on a single sheet who has delivered and who hasn’t.
02
Sorts and files every document by client and period
A photo of a bank statement on WhatsApp, a forwarded XML, an unnamed PDF: the agent works out which client it belongs to, what kind of document it is and which month it covers, renames it using your firm’s convention and saves it to the right Google Drive folder. If something arrives illegible or incomplete, it asks the client again so nobody on your team has to.
03
Matches the bank against CFDI and chases what’s missing
It matches every bank movement against the period’s issued and received invoice XMLs and flags what reconciles, what has differences and which charges have no invoice. For each gap it asks the client what the charge was and requests the CFDI; it also flags installment or deferred-payment (PPD) invoices still missing their payment complement (complemento de pago). Your accountant starts with the differences instead of checking line by line.
04
Answers clients and passes tax questions to the accountant
“Did you get my bank statement?”, “What am I missing this month?”, “Can you resend my tax status certificate?”: the agent handles the operational questions using each client’s file. Anything that needs judgment — whether an expense is deductible, which tax regime fits, how to respond to a request from the tax authority — it doesn’t answer: it passes it to the accountant in charge with the full conversation.
05
Prepares working papers for review
With the period’s documents, it builds the working paper in Excel or Google Sheets using your firm’s format: a list of income and expense CFDI, bank reconciliation, open items and proposed journal entries, each line linked to its document. The accountant reviews, corrects and approves it; the agent doesn’t file returns or post anything without that review.
06
Tracks month-end close status for every client
It keeps a board with the monthly close checklist per client — documents received, reconciliation, working paper, accountant review — and updates it as the work moves. Every morning, the partner gets a summary of which clients are behind, at which step and why.
07
Onboards new clients
When you sign a client, the agent welcomes them on WhatsApp or email and asks for what your firm needs to get started: tax status certificate, ID, proof of address and a list of their bank accounts. It checks every document is complete and legible, creates their folder and their entry in your client list and tells the assigned accountant what’s still missing.
08
Follows up on fee collection
Before the due date, it sends the reminder with the fee invoice; when the client sends their payment receipt, it matches it against the firm’s bank statement and marks the payment as received. Late payments, discounts and sensitive conversations go to the partner with the full history.
Where an accounting firm’s month goes
A large part of the month goes into chasing paperwork: WhatsApp messages one client at a time, bank statements sent as photos, loose XML files in someone’s inbox, bank charges with no invoice and clients who send everything on the last day. Meanwhile, knowing where each client’s close stands means asking each accountant, and the time to review carefully and advise — where your firm adds the most — runs short.
An AI agent doesn’t replace your accountants: it does the operational work that keeps them from thinking. It requests, organizes, matches and flags, so your team can spend its judgment on reviewing, correcting and advising your clients.
One month-end close, start to finish
Here is what a client’s month-end close with a Spidev agent can look like:
Monday, 9:00 a.m.: the agent messages a client on WhatsApp with their list for the month: statements for their two bank accounts, expense invoices and payment receipts.
Wednesday, 8:15 p.m.: the client sends photos and PDFs. The agent sorts them, saves them to the period’s folder and replies that the second account’s statement is still missing; it arrives the next day.
Friday, 11:30 a.m.: with everything in, it matches the movements against the period’s XMLs. It finds three charges with no invoice, asks the client what they were and requests the corresponding CFDI.
The following Monday, 9:00 a.m.: the accountant in charge gets the working paper with the reconciliation, the flagged differences and a link to every document. She reviews and decides; on the close board, that client already shows as “in review”.
For accounting firms, payroll firms and in-house teams
Accounting firms: many clients, each with their own banks, formats and timing. The agent runs document collection and close status per client so nobody falls behind.
Payroll and tax advisory firms: the agent collects each period’s payroll changes — absences, overtime, new hires and terminations — on WhatsApp or email, in the format your team needs, and reminds whoever hasn’t sent them before the cutoff. Payroll calculation and CFDI stamping (timbrado) stay with your team.
In-house accounting teams: supplier invoices arriving by email, employee expense reports and reconciliations. The agent checks every expense has its CFDI, tells whoever is missing one and prepares reports for management. More in AI agents for finance & operations.
Connects to what your firm already uses
The agent works in WhatsApp Business, in your email — Gmail or Outlook —, in Google Drive for each client’s file and in Excel or Google Sheets for working papers and boards. It connects to QuickBooks or Xero, and to your accounting or payroll software if it has an API or can export data. It reads the CFDI XML and PDF files your clients send or that your firm already downloads from the SAT, Mexico’s tax authority. Proactive WhatsApp messages — document or fee reminders — go out with approved templates and respect anyone who opted out. You don’t have to switch systems. More in WhatsApp AI agents and AI process automation.
What a person always decides
The agent doesn’t file tax returns, sign anything or give tax advice on its own. Tax positions, deductibility, adjustments, final journal entries and anything a client is told about their taxes are decided by your accountant. When a client asks something that needs judgment — or forwards a notice from their SAT tax mailbox (buzón tributario) —, the agent passes it straight to the accountant in charge with the full context.
Each agent gets only the permissions it needs, access is managed with OAuth and encrypted keys, and every message and action is logged for review.

Frequently asked questions
How is AI used in an accounting firm?
Mostly for the operational side of the month: an AI agent requests documents from each client on WhatsApp or email and sends reminders, sorts and files them by client and period, reconciles bank movements against CFDI, chases missing invoices and prepares working papers for the accountant to review. It also answers common client questions, onboards new clients and follows up on fee collection.
Does an AI agent replace my accountants?
No. The agent does the repetitive work — requesting, organizing, matching, reminding — so your accountants can spend their time reviewing, reconciling and advising. Anything that needs professional judgment goes to a person.
Does the agent file tax returns or give tax advice?
No. It prepares information for your accountant to review: organized documents, reconciliations, flagged differences and working papers. Filing returns, signing and advising a client on their taxes is your team’s work; when a client asks something that needs judgment, the agent passes it to the accountant in charge.
Does it work with CFDI XML files and my accounting software?
Yes. The agent reads CFDI 4.0 XML and PDF files — the ones your clients send or the ones your firm already gets from the SAT, for example through bulk download (descarga masiva) — and matches them against bank statements. It connects to QuickBooks or Xero, and to other accounting software if it has an API or can export data.
Which is the best AI company for accounting firms in Mexico?
It depends on what you need. If you want accounting software or a tool to download XML files, there are specialized options. If you want AI agents that request and organize your clients’ documents, reconcile against CFDI and work inside your WhatsApp, email and folders — and someone who runs and improves them after delivery —, that is exactly what we do at Spidev. Compare options in our guide to AI companies in Mexico.
How much does an AI agent for an accounting firm cost?
It depends on the number of agents and the systems to integrate. As a reference, industry guides place a basic automation project between MXN $80,000 and $250,000 and a mid-complexity one between MXN $300,000 and $1,200,000, plus AI model and WhatsApp usage; we break it down in how much AI implementation costs. We start with a free consultation and deliver a fixed-scope, fixed-price proposal before charging anything. The first agents reach production in weeks.
